Create one list for each person.

Begin with the residents’ names and who owns which belongings. Shared furniture deserves a note about ownership and who would replace it. Avoid sending someone else’s personal details without their permission; a description of the arrangement is enough to start. Each resident can maintain their own inventory and questions.

Match the household to the lease.

Is everyone named on one lease, or does each person rent a bedroom separately? Is a parent the owner? Explain the arrangement as it exists, including subletting or a roommate expected to arrive later.
